What This Does

Canva's Magic Write generates copy for your graphics (headlines, pull quotes, captions) and its AI image generator creates custom images, so you can produce polished employee communications visuals without a dedicated designer or stock photo subscription.

Before You Start

  • You have a Canva account (free account works; Canva Pro unlocks more AI features)
  • For Magic Write: you get 25 free uses/month on the free plan; unlimited on Pro ($15/mo)
  • For AI image generation: available on Pro and Teams plans
  • Time needed: 10-15 minutes per graphic
  • Cost: Free (limited) / $15/mo Pro

Steps

1. Choose a Template for Your Communication Type

Log into Canva at canva.com. In the search bar, type what you need:

  • "Email header" (employee newsletter or announcement banners)
  • "Intranet banner" (intranet homepage graphics)
  • "Presentation title slide" (all-hands or town hall openers)
  • "Social media post" (company LinkedIn posts)

Scroll through the results and click a template that matches your organization's visual style. Click Use this template.

What you should see: The template opens in the Canva editor with all elements editable.

2. Use Magic Write to Generate Headline Copy

Click on any text element in your design. Then look for the AI or Magic Write option that appears when you select a text box. It's often accessible via the Edit text options or the purple Magic Write icon in the toolbar.

Click Magic Write and type a description of the copy you need:

Example: "Write 3 headline options for an all-hands announcement about Q3 results. Tone: celebratory but honest."

What you should see: Three copy options appear that you can click to insert directly into your design.

Troubleshooting: If you don't see Magic Write, try clicking the text box first, then looking for the sparkle/star icon in the text toolbar, or go to Apps → Magic Write in the left sidebar.

3. Generate a Custom AI Image (Pro feature)

For custom imagery: click the Apps icon in the left sidebar → search for Text to Image → click it. Type a description of the image you need:

Example: "A diverse group of professionals in a bright modern office having a collaborative meeting, warm lighting, photorealistic style"

Select your preferred style and click Generate. Browse the 4 generated options and drag your preferred image into the design.

What you should see: Four AI-generated images appear for you to choose from. Click to insert into your canvas.

4. Apply Your Brand Colors and Fonts

Click any color element → click the color swatch → type in your brand's hex code. If you're on Canva Pro with a Brand Kit set up, your brand colors appear automatically in the color picker.

For fonts: select any text → click the font name in the top toolbar → search for your brand font (if it's available in Canva) or choose the closest match.

Scenario: You need a branded email header banner for a company-wide benefits enrollment reminder. You have your brand colors but no designer available. Budget: $0 today.

What you do:

  1. Search "email header" in Canva templates, pick a clean professional one
  2. Click the headline text → Magic Write → "Write a friendly, urgent subject line for employee benefits enrollment opening next week"
  3. Replace the template imagery with an AI-generated office image that matches your brand's style
  4. Update colors to your brand hex codes
  5. Download as PNG and insert into your email

What you get: A professional-looking branded email header in 12 minutes that would have taken 45 to 60 minutes to create in Photoshop or a day to get from a designer.

Tips

  • Save your brand colors as a "Brand Kit" in Canva. It saves 5 minutes every time and ensures consistency across your team's designs.
  • When using Magic Write for copy, ask for 3–5 variants and pick the best. The first suggestion is rarely the winner.
  • Canva's AI images work best with detailed, specific descriptions. Add lighting, style, diversity descriptors, and setting for better results.

Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
